A WhatsApp CRM is not a spreadsheet of phone numbers with a broadcast button. It is a repeatable operating system for turning permissioned conversations into accountable sales work. The best starting point is one funnel: capture a lead, understand intent, assign an owner, complete a useful follow-up, and record the outcome.
Design the pipeline around buyer decisions
Keep early stages simple: new lead → contacted → qualified → proposal or checkout → won/lost. Define the evidence for each stage. “Qualified” might mean the team knows the use case, company size, timeline, and decision maker—not that someone clicked a button.
Capture context at the first message
Tag the source (Google Ads, landing page, QR code, referral), campaign, product interest, and consent scope. Ask no more than one or two questions at a time. Follow-up should add information, not merely ask “Any update?”. For example: send a relevant use-case guide after discovery, a concise workflow summary after a demo, and a clear checkout or calendar link only when the buyer has shown intent. Stop or change the sequence when a customer replies, opts out, or has already converted.
Measure the handoffs that expose leaks
Track time to first response, qualification rate, demo-to-proposal rate, proposal-to-paid rate, and revenue by source. Connect ad click information and landing attribution to the CRM record so a paid acquisition report reflects completed registrations and paid accounts—not just messaging activity.
A simple weekly review
Review five lost or stalled conversations. Was the source poor-fit? Did the first reply take too long? Was there no clear next step? Did a workflow send a generic message after the customer had already replied? Small fixes to these moments compound faster than adding more automation.
